Before confirming your adventure with us, we kindly request you to thoroughly review our terms and conditions. These terms and conditions come into effect from the date of your booking with Adventure Master Trek:

Booking Confirmation:

To confirm your booking, a 25% deposit per participant is required when booking through our website. Discuss installment plans with your adviser before making a reservation. Your booking is tentative until you receive a Welcome email, forming a legal agreement between us.

Interim acknowledgments are not confirmations; we may refuse bookings. We’ll contact you primarily via email; check regularly.

Payment:

We accept booking deposits via bank transfer or Credit/Debit Card (Union Pay, Visa, American Express, MasterCard, and JCP).

Credit Card and Debit Card Payment:

For Debit Card payments: Complete the form with your card details and signature (matching your passport). Email the form to us. Download the form.

For Credit Card payments:

Note: A 4% extra charge applies to Credit Card payments.

Make the final payment upon arrival in Nepal (before the trip starts).

Last minute booking & Reservation:

We do accept last-minute bookings and for last-minute bookings, especially within 30 days of the tour, we might charge additional costs. We’ll inform you of any extra expenses when you make the reservation. Full payment is required for bookings made less than 30 days before the tour, and the contract becomes effective upon payment.

Cancellation Policy:

If you must cancel, please contact us in writing via email. Cancellation fees are calculated as a percentage of the total tour price based on when the request is received by the company:

  • Cancel 40 days or more before departure: 15% deduction.
  • Cancel 20 days before departure: 50% deduction.
  • Cancel less than 7 days before departure: 80% deduction.

Get cancellation insurance at the time of booking to ensure maximum compensation, as Adventure Master does not issue returns for clients who leave the trip voluntarily, nor for unused services such as hotel, meals, transportation, sightseeing, or other unlisted services.

Incomplete Tour:

We are not responsible for refunds in the event of an incomplete tour, trip, or expedition, regardless of the customer’s fault.

Itinerary Changes:

While Adventure Master Trek makes every effort to stick to the agreed-upon itinerary, unforeseen circumstances may necessitate changes, and the company reserves the right to modify the itinerary for the safety of clients, offering alternative options without refunds.

Additionally, clients opting to cancel can request a non-transferable credit voucher equal to the paid amount for a new booking within three months, with no refund or additional voucher provided if the new booking is not accepted.

Flexibility and Changes:

Clients must acknowledge that this type of tour requires flexibility. Due to unforeseen local conditions, the itinerary, accommodations, and transportation may change. Adventure Master reserves the right to modify, shorten, or reroute trips if deemed necessary, and clients are responsible for additional costs if the cause is beyond our control. The company may also cancel a trip before assurance.

Unless a journey is assured with at least 1 fully paid traveler, Adventure Master may use different vehicles, transports, or aircraft if needed.

Travel Insurance:

We strongly recommend obtaining comprehensive travel insurance that covers trip cancellations, medical emergencies, evacuation, and other unforeseen events.

To participate in our trips, all clients must have a full travel insurance package. This insurance must cover medical expenditures, personal accidents, emergency evacuations, trip cancellations, gear loss, natural disasters, and theft or damage to baggage and personal items.

Health and Fitness:

Some of our trips may involve physical exertion. Clients must be in good health and possess the necessary fitness levels. Any pre-existing medical conditions must be disclosed to Adventure Master Trek.

Risk & Liabilities:

Adventure Master Trek holds no responsibility for losses, damages, injuries, or additional expenses arising from uncontrollable factors like natural disasters, political unrest, or transportation delays. Clients are required to promptly notify Adventure Master in the event of delays or cancellations in their international flights during arrival or departure. Any expenses resulting from changes in domestic or international flights will be the clients’ own responsibility.

Complaints:

If you encounter any concerns or have complaints during your trip, please promptly communicate them to our staff for timely resolution.

For Complaints:

While we strive for successful tour arrangements, if any issues arise, inform your tour guide immediately for resolution. If unresolved, contact us by phone at +977 9851033195 or email at adventuremastertrek@gmail.com.

If a formal complaint is necessary, submit it within 28 days after your stay’s conclusion, including your booking reference and relevant details. Be precise and direct in your letter to expedite our response.

Failure to follow these instructions may impact your rights under this contract, as we and the relevant provider may not be able to properly investigate your complaint.
