These terms explain how we operate and what both you and Adventure Master Trek agree to when you book a trip with us. Please read them carefully before confirming your booking.
1. Booking Policy
Nepal Trips
- A 30% deposit is required to confirm your trip.
- This deposit is non-refundable.
- The remaining balance can be paid:
- Upon arrival at your pre-trip meeting in Kathmandu
- Or in advance via bank transfer or credit card
- Upon arrival at your pre-trip meeting in Kathmandu
Bhutan & Tibet Trips
- A 50% deposit is required to confirm your booking.
- The remaining balance must be paid at least 20 days before your trip.
Last-Minute Bookings
- Nepal trips can be booked up to 10 days before departure. Full payment required. No refund applies.
- Bhutan & Tibet trips can be booked up to 20 days before departure. Full payment required. No refund applies.
2. Payment Options
We accept:
- Online payments (via our secure gateway)
- Credit/Debit cards (Visa, Mastercard – 4% service fee applies)
- Wire/bank transfers (client covers transaction fees)
- Cash payments (in Kathmandu, with clean and recent USD bills—2009 or newer, $50 or $100 denominations)
3. Cancellation & Refund Policy
Nepal Trips
- Cancel 20+ days before trip: 30% deposit is kept; rest refunded.
- Cancel less than 20 days: No refund.
- If you cancel after the trek starts, no refund is available.
- No-shows on the departure date are not refundable.
Bhutan & Tibet Trips
- Cancel 30+ days before trip: 50% deposit is kept; rest refunded.
- Cancel less than 30 days: No refund.
We can provide documentation for insurance claims if needed.
4. Rescheduling Your Trip
Nepal Trips
- Notify us at least 20 days in advance to change your dates.
- A USD 200 per person rescheduling/transfer fee applies.
- If transferring the trip to someone else, you must find a replacement.
Bhutan & Tibet Trips
- Notify us at least 30 days in advance.
- A USD 500 per person rescheduling/transfer fee applies.
- You are responsible for finding the replacement person.
5. Everest Base Camp Trek – Special Policies
If You Cancel
- 30+ days before departure: Full refund (excluding bank fees)
- 10–29 days: 30% refund
- 5–9 days: 50% refund
- Less than 5 days: No refund
- If you postpone at the last minute, there’s no extra fee
- Once the trek has started, no refund is provided
If We Cancel
- If we cancel due to weather, disasters, or political issues:
- You can reschedule or
- Receive a full refund
- You can reschedule or
6. Helicopter Tour – Special Policies
If Canceled by Weather
- 100% refund
If Canceled by You
- Before departure: Refund per above policy
- After departure: No refund
If Canceled by Us
- You can reschedule or receive a full refund
7. Flight Delays (Lukla / Mountain Regions)
- Weather delays are common for flights to/from Lukla
- Please allow 1–2 extra days in your plan
- If flights are canceled, helicopter sharing may be arranged (approx. USD 550/person, one-way)
- These costs are not included in your trip package
- We’ll provide documentation for insurance reimbursement
8. Travel Insurance
All guests must have valid travel insurance that covers:
- Trip cancellation
- Medical emergencies
- Helicopter evacuation
- Lost baggage or items
- Natural disasters
- Flight delays
Adventure Master Trek is not responsible for expenses not covered by your insurance.
Note: Travel insurance must provide coverage for trekking activities at altitudes up to 6,000 meters. Please verify this from your end.
9. Health and Fitness
- You must be in good health and capable of walking in mountainous terrain.
- Please talk to your doctor before the trip.
- Inform us of any existing medical conditions during booking.
10. Passport & Visa
Nepal
- Your passport must be valid for at least 6 months after your return date.
- Visas can be obtained:
- Upon arrival at Kathmandu airport
- Or from the Nepalese embassy in your country
- Upon arrival at Kathmandu airport
- Visa fees are not included in the trip price.
Bhutan & Tibet
- We handle all visa and permit arrangements
- The fee is included in your package
- You’ll need to provide:
- A clear scan of your passport
- A passport-size photo
- Travel insurance proof
- A clear scan of your passport
11. Unforeseen Events
We are not responsible for changes caused by:
- Political unrest or strikes
- Government rule changes
- Natural disasters (earthquakes, landslides, floods)
- Illness or personal emergencies
- Delayed or canceled flights
Any extra costs from such events will be your responsibility.
12. Incomplete Trip
If you decide to stop the trip early for any reason, no refund will be provided for unused services like:
- Accommodation
- Meals
- Transport
13. Price Adjustments
If your trip is changed due to unforeseen issues:
- We’ll offer a similar-value alternative
- Services already used will be deducted
- If the new trip costs more, you’ll pay the difference
14. Single Supplement
- Trip prices are based on shared (twin) rooms
- If you prefer a private room, an extra charge applies (you’ll be informed in advance)
15. Children Policy
- Travelers under 16 must be with a parent or legal guardian
16. Privacy Policy
We value your trust. Your personal data will never be shared or sold. It’s only used for trip coordination.
17. Publicity Consent
By joining our trips, you allow us to use any photos/videos taken during your adventure for our website, social media, or promotional materials.
18. Guest Conduct
- You must behave respectfully and follow local rules.
- If your actions disturb others or break the law, we may remove you from the trip.
- No refund will be issued in such cases.
19. Complaints
If something isn’t right during your trip, please tell our team immediately. We will do everything we can to resolve the issue quickly and fairly.
20. Legal Jurisdiction
All bookings are governed by Nepalese law. Any legal disputes will be settled in the courts of Kathmandu, Nepal.

If you have booked your trip through a third-party agent or travel agency, their own terms and conditions will apply. In such cases, we recommend reviewing their policies carefully before confirming your booking.
